Planning, and Coordination

 

Service includes:

  • In-person meetings (up to 10 hours total)

  • Consultation to determine wedding vision; creation of vision board

  • Generation of master checklist & co-management of list

  • Budget generation and co-management

  • Venue sourcing (up to 3 site visits)

  • Quality vendor referrals (rentals, photography, entertainment, etc.)

  • Ceremony & Reception Design: centerpieces, candles, linens, etc.

  • Integrated design with florist

  • Logistics Management: hotel blocks, transportation, etc.

  • Document management via Google Drive and/or Dropbox

  • Distribution of welcome bags to hotels

plus all services included in month-of coordination

  • Initial Consultation

  • Unlimited digital communication

  • Follow-up to all contracted vendors 1–2 weeks before Wedding Date to schedule deliveries and arrivals

  • Visit to both ceremony and reception sites prior to Wedding Date

  • Curated list of quality vendor referrals

  • Development of a detailed wedding timeline for contracted vendors and wedding party

  • Rental Order review and alterations

  • Layout generation

  • Vendor Contract Review

  • Week of the wedding, collect decor items to be set up

  • Facilitate wedding rehearsal (up to 2 hours total)

  • Onsite coordination and supervision at the ceremony site and during the reception on the Wedding Date

  • Act as liaison between ceremony and reception site and client

  • Oversee and accept vendor deliveries

  • Ceremony & reception setup/decorating (placement of guest book, programs, photographs, linens, candles, favors, signage, etc.)

  • Distribute flowers to wedding party and honored guests

  • Direct/assist florist in flower arrangement placement at ceremony & reception

  • Collect and distribute any vendor payments and gratuities to be made on site

  • Cue ceremony musicians; orchestrate ceremony processional and recessional

  • Ensure that reception site is ready

  • Cue reception musicians or deejay; assist MC facilitating the first dance, cake cutting, etc.

  • Plan and execute grand entrance or exit of Bride and Groom

  • Ensure gifts/décor/belongings are with designated persons

  • Event clean up: ensure venue is left in appropriate condition
